Questions Since Our Last Meeting?

  • Is there a process to address something that was thought of between ad-hoc group meetings?
    • Issue tracker was created to capture potential project ideas as well as to track progress of active projects
      • Found within the Data Governance teams group

Vote on Operating Procedures and Attendance Policy

  • Draft operating procedures (quorum, voting requirements) were shown, no objections were noted.

Items for Discussion:

  • Mike Swiniarski: Changing the data logic in ZogoTech and on dashboards for high school students that enroll at NECC after graduating from high school
    • Some students (largely Early College Students) are not being coded as new despite reasons for them to be considered new students
    • Looking to evaluate the existing data dimension and holistically determine new data logic that will be acceptable for all areas that use this dimension.

Ad-Hoc Group Updates:

  • Employee Departure and Data Access – Patty Gauron
    • Streamline a process for offboarding – looking to create a distribution list to identify any individuals that has control over user access of various systems/buildings/etc. so that access of all of these elements can be consistently cut off when an employee leaves NECC
    • Email going out tomorrow to all supervisors with lists of their direct reports to confirm data in HRCMS
    • Updating Active Directory and Banner with current employee information
  • Software Onboarding, Procurement, and Evaluation Process – Beth Donovan
    • The group is looking to draft guidelines for a holistic software onboarding process that covers technical requirements, procurement requirements, and anything else that should be evaluated when software is onboarded.
  • Bookstore + Access Courses – Allison Gagne
    • Streamline the amount of things that are being offered through the bookstore
    • Determine a vetting process with IT’s input; publishers often market their products directly to faculty and decisions might be made without an appropriate technical evaluation
  • Financial Aid/Accounts Receivable Data Integration with ZogoTech and IE Office – Audrey Ellis
    • Cleaning up some existing Financial Aid/Accounts Receivable data elements in ZogoTech
    • Looking at adding Financial Aid and Accounts Receivable Data to ZogoTech, the next meeting is to determine the scope and timeline of the project
  • Defining Stop Out vs. Alumni Population Criteria – Dave Payzant
    • This group is looking to determine the accepted criteria for what constitutes a stop out vs an alumni (graduating, non-graduating alumni)
      • The group is also looking at other colleges to see what commonly accepted definitions are
    • Use this information to determine engagement across different student demographics (age, location, etc.) and how to get these ex-students to re-engage
  • ZogoTech Outstanding Ticket/Enhancement Cleanup + IPEDS Data Element Additions – Andrew Nguyen
    • Cleaning up ZogoTech tickets to prepare for future customizations with ZogoTech, almost done with the tickets
    • Next steps will be to get the IPEDS data elements into ZogoTech
  • Adult Basic Education + DestinyOne – Estefanie
    • D1 testing put on hold for a few reasons:
      • Testing and orientation needs to be coded as a unique costing unit (free to students)
    • The group is currently evaluating the function of DestinyOne once courses are added.
